Terms of Service
Last updated: August 24, 2026
1. Beta status
The Roleplay Bot is currently in a closed, invite-only friends beta. Only Discord servers explicitly approved for the beta can use the dashboard. Features, behavior, and availability may change or be removed at any time without notice, and we do not guarantee any level of uptime or availability during this period.
Some plans are paid. Where you pay us for a plan or an add-on, sections 6 to 11 below also apply, and nothing in this beta section removes a right you have under the consumer law of your own country.
2. Not affiliated with Discord
The Roleplay Bot is an independent third-party application and is not affiliated with, endorsed by, or sponsored by Discord Inc.
3. Your Discord account
You need a Discord account to use The Roleplay Bot, and you access it by logging in with Discord. Your use of Discord itself remains subject to Discord's own Terms of Service and Community Guidelines.
4. Acceptable use
- Do not attempt to bypass the closed-beta access gate or access a server you do not have permission to manage.
- Do not use the bot or dashboard for anything illegal, or to store or transmit content that violates Discord's Terms of Service or Community Guidelines.
- Do not attempt to abuse, flood, or interfere with the feedback, ticket, or notification systems.
5. Your content and server responsibility
Configuration and records you or your server's staff create (ranks, application forms and answers, ticket messages, activity and event records, and similar) remain yours. If you own or manage a server using The Roleplay Bot, you are responsible for your staff's use of the dashboard and for content your members submit through forms, tickets, and similar features on your server.
6. Paid plans and digital services
Some features are offered on paid plans, and some as add-ons that attach to a paid plan. What each plan costs and what it includes is shown on our Pricing page, which is the authoritative description of what is sold.
Everything we sell is a digital service, delivered immediately and continuously for the period you pay for. There is nothing physical to ship and nothing to return. Access begins as soon as a payment succeeds.
A plan is licensed for use with the Discord servers connected to the account that pays for it. Prices are shown exclusive of any tax that may apply where you are; where tax applies it is calculated and added by our payment provider at checkout.
7. Recurring payments
Paid plans are subscriptions. Unless you cancel, a subscription renews automatically at the end of each billing period — monthly or yearly, whichever you chose — and the payment method you provided is charged again at the price then in effect for your plan.
Payments are taken by a third-party payment provider. We do not receive or store your full card details; see our Privacy Policy.
We may change the price of a plan. If we do, we will tell you before the change applies to your subscription, and you may cancel before the next renewal if you do not want to continue at the new price.
8. Failed payments
If a renewal payment fails — most often an expired or replaced card — your subscription is not cancelled straight away. The payment provider will retry it, and your plan stays active while it does, so a temporary payment problem does not interrupt your community.
If the payment cannot be collected after those retries, the subscription ends and the account returns to the free plan. Your configuration and records are not deleted when that happens; features that belong to a paid plan simply stop being available until a payment succeeds again.
9. Cancelling, upgrading and downgrading
- Cancelling. You can cancel at any time. Cancelling stops the next renewal. It does not end the period you have already paid for — your plan stays active until that period ends, and then the account returns to the free plan.
- Upgrading. Moving to a larger plan takes effect immediately, so the features become available straight away.
- Downgrading. Moving to a smaller plan takes effect at the end of the current billing period, so you keep what you have already paid for until it runs out.
Cancelling a subscription does not by itself entitle you to a refund of the current period. Refunds are covered by section 11 and by our Refund Policy.
10. Discounts, benefits and gift cards
- Discount codes reduce the price of a purchase. A code may be limited in how many times it can be used, how often one customer may use it, what it applies to, and how long it lasts. Codes and account benefits do not combine: where more than one could apply, the largest single one is applied and the others are not.
- Benefits are reductions we may attach to an account — for example for beta participants. A benefit changes what you pay and nothing else: it grants no additional features, and removing it takes no feature away.
- Gift cards are stored value that can be used to pay for a purchase. A gift card is not a discount: it does not change what something costs, only how much of it is already paid. Gift cards are not redeemable for cash, may carry an expiry date, and are subject to the rules in our Refund Policy.
We may withdraw or change a promotion at any time. Doing so does not affect a purchase already made under it.
11. Refunds
Refunds are handled separately, under our Refund Policy, which explains what is covered — including duplicate charges, unauthorized payments and genuine service faults — and how to request one. That policy forms part of these terms.
12. Enterprise and custom plans
Larger organizations and networks may be offered a custom plan, priced individually rather than published on the Pricing page. Where a separate written agreement or order form covers such a plan, that agreement takes precedence over these terms and over our Refund Policy wherever the two differ.
13. Service provided "as is"
During this beta, the bot and dashboard are provided "as is" and "as available," without warranties of any kind, express or implied.
14. Access and termination
We may remove a server from the beta allow-list, or remove the bot from a server, at our discretion — for example for a violation of these terms, abuse, or simply to manage the size of the closed beta.
15. Limitation of liability
To the fullest extent permitted by law, The Roleplay Bot team is not liable for indirect, incidental, or consequential damages arising from use of the bot or dashboard during this beta.
16. Changes to these terms
These terms may be updated during the beta. Check the "Last updated" date above.
